Ticket cancellation. Smart tips

Plans can change due to a family emergency or accidentally booked ticket on a wrong date, itinerary, person etc and  the only option is to cancel the ticket. There is always a question: “In case of cancellation, am I eligible for refund?”. To know the answer to this question, you should always check the fare rules before ticket purchase and get ready in case you need to cancel the flight. This will help you to brace yourself well in advance and choose the best fare for you.  Remember, most of  airlines and travel agencies offer the option “flexible ticket” that represents a cancellation protection for your ticket, but before choosing this option, check carefully terms and conditions of this service.
No matter why you need to cancel your ticket, act fast and prepare yourself for possible fees. I will present you some basic knowledge on how to check correctly the fare rules.




What should I know before I book the ticket? In most of cases, the economy class tickets are non-refundable, in other cases you should contact the airline or travel agency well in advance in order to get bigger refund. Take it as a rule: before ticket purchase, always check the fare rules.  The airline or the travel agency must provide you this information. The fare rules can be checked during the booking process and usually are attached in the confirmation e-mail. If you have bought the tickets through other channels (e.g travel agency) check for the additional service fees that may be applied along with airlines fees.

When you check the fare rules, you should choose the category  “PE.PENALTIES” and search for  “Cancellation”:

– Ticket is non-refundable  it means that the ticket fare is non-refundable and you will get back only airport taxes without fuel surcharge taxes: YQ and YR. Some tickets are totally non-refundable (typically cheap and specials/online fares)

– Ticket is refundable without penalty only before departure and in case of no-show a penalty should be payed; after departure ticket is non-refundable (this is for round-trip ticket when the departure or one of the flight is already used)

– Visa rejection
REFUND PERMITTED BEFORE DEPARTURE IN CASE OF
REJECTION OF VISA. EMBASSY STATEMENT REQUIRED.
Some airlines full-refund the ticket in case of visa rejection.  To find out if this rule is applied to your ticket, you should check the fare rules, or if you see that the fare is non-refundable and nothing about visa rejection is mentioned, then you should choose a ticket with an applicable cancellation fee. Please note, that in some cases, the cancellation fee can be bigger than the entire fare and in this case the ticket  is non-refundable too.

Usually it is not stated in the fare rules and you should contact the point of sale to ask. Unfortunately, there’s no guarantee that the airline will waive the cancellation fee. However, each case is treated individually by the airline, so we recommend  you to consult first the point of sale of your ticket and send all necessary documents that prove the fact that  you/ or your travel companion is unable to travel. In this exceptional cases, the airline may take the decision to return a part of the amount or in full. If the travel companion (one of the passenger) is family member  and is ill, you can ask for full refund for all passengers.

– In case of death  – if you’re cancelling the ticket because of such grave circumstance, the airline might be willing to waive its usual cancellation fee

– Ticket is full-refundable with a penalty if cancellation is done some hours prior to departure: you can see that in some cases it is 24 hour before departure in other 3 hours before departure. When it is not stated, then no-show is considered from the moment that check-in opens and no-show fee is applied.

– What should you remember? General rules
1. There are airlines that consider non-show if you fail to cancel the ticket 24 hours before departure:

CHARGE WILL BE APPLIED WHICHEVER IS HIGHER.
Most of airlines consider non-show if you fail to cancel the ticket 2-3 hours before, usually before check-in opening (it is a general rule and it is not stated always in the fare rules):
NO SHOW-A PASSENGER FAILS TO CHANGE/CANCEL
HIS/HER RESERVATION 2 HOURS PRIOR TO DEPARTURE

2. Many airlines in case of refundable fares with penalty apply a discount for the child and the infant usually is waived from paying a cancellation penalty

4. If you have a round-trip ticket check both fare rules for the departure and for the return. In many cases if one of the fare is non-refundable, then the restriction applies for the entire journey:  if for the departure the ticket is refundable with penalty and for the return the ticket is non-refundable, then it can be applied to the entire journey and the entire ticket will be non-refundable

5. The refund is possible only via the point of sale of your ticket. If you bought your ticket via travel agency, you cannot request it via the airline company.

6.  Tickets are only valid for a refund during 6 to 12 months from the date of original issue (usually date of purchase). No refund can be applied after this date, even if the travel has not commenced. Check the ticket validity with your ticket point of sale.

7. Refunds typically take up to 40 days to process but can take and more, depending on the type of refund (schedule change, medical, visa rejection etc) and the airline you are travelling with.

8. If you bought a ticket via travel agency, the fees and fare rules set by the airline cannot be waived. The travel agencies have no authority to to waive them.

9. If you bought your ticket via airline you can  access your flight details, making on-line cancellation or checking the fare rules  here by entering your reservation or ticket number. In case there is no on-line form available, you can contact the airline directly by phone or e-mail.
When a ticket is not purchased via airline directly, but through other point of sales, then try to cancel it first via point of sale of your ticket. If it doesn’t work, then contact the airline for  cancellation.

10. Remember, if you want to cancel a non-refundable ticket and  a portion of your flight is already used, most of airlines do not give any refund, not even taxes of the unused segments of flight.  It is considered, that one-way ticket is more expensive than round-trip.

11. Each airline determines their cancellation policy and before completing the reservation, it is recommended to read carefully the booking terms and conditions (fare rules). However, keep in mind that not all companies reimburse the airline fee in full, but in most cases it is possible to recover the amounts according to the fare rules.  In case of a multi-segment booking, if one of the segments is not used, reimbursement of the corresponding amount may be impossible or limited to a certain amount of money.

12. In case your flight is cancelled by the airline (flight is not operated anymore) or there is a major  schedule change operated by the airline, it is considered involuntary refund and you are entitled for  full refund.

13. If  you purchased the ticket via travel agency, along with the penalty form the airline a cancellation fee  from travel agency will be applied.

14. If you cancel the ticket in the same day of purchase you can get full refund (except if it is applicable a small cancellation fee). In this case, if you decide to cancel your ticket some minutes or hours after ticket purchase, contact quickly the point of sale of your ticket. Remember, this rule is not applicable in all cases, some airlines do not offer full refund.
If this rule is applicable to your ticket you should cancel it in the same day and not within 24 hours after ticket purchase. This rules is not valid  anymore (only few airlines still follow this rule).

15. Be attentive regarding the ticket origin, it means, the country where your travel starts. Depending on the country your are travelling from, different fare rules can be applied:
ORIGINATING KOREA, REPUBLIC OF –
CANCELLATIONS
ANY TIME
CHARGE USD 40.00 FOR CANCEL/REFUND.
ORIGINATING AREA 2 –
CANCELLATIONS
ANY TIME
TICKET IS NON-REFUNDABLE IN CASE OF CANCEL/NO-SHOW/
REFUND.
It means that if your travel begin from Korea, for example, the cancellation fee is USD 40.00, but if it starts from Area 2 (which is Europe) ticket is non-refundable.
The world is divided into 3 areas: area 1 – America and surrounding islands; area 2 – Europe, Middle East and Africa; area 3 is Asia-Pacific.

16. Buy Travel Insurance that was created for unexpected cancellations that can be work obligations,  jury duty, storm damage, death, injury, illnes. The insurance will reimburse you for any prepaid, non-refundable costs incurred due  to the cancellation. Keep in mind that in many cases you’ll pay any costs upfront and then you will receive the reimbursement.
